Job Summary

Location: Portland, Oregon

In this dynamic, fast-paced environment, the Order Entry Administrator is responsible for the accurate and timely processing of all orders, including any necessary follow up for clarification or to resolve discrepancies. Reporting to the Operations Manager, this position responds to dealer and customer inquiries with a friendly customer-service oriented approach, seeking information and performing research as necessary to provide accurate responses in a timely manner.
 

Duties and Responsibilities

  • Prepare orders for entry into ERP system; follow up with dealers as necessary to clarify order details
  • Enter orders in an accurate and timely manner; match and check against acknowledgments
  • Participate in product knowledge training, including new products and existing product changes
  • Utilize branch resources to make informed and accurate responses to dealer/customer inquiries 
  • Match and create invoices for previous day’s shipments; Audit and add freight costs in an accurate manner according to freight program guidelines  
  • File completed orders and other various documents on a daily basis
  • Assist with daily check deposits
  • Answer and direct incoming calls; greeting all customers/clients in a friendly manner
  • Maintain professionalism and act in a manner consistent with FPI mission and guiding principles
  • Follow all Health & Safety programs; actively participate in Health & Safety training with the purpose of gaining knowledge and understanding
  • Contribute to a positive work environment focusing on Lean and continuous improvement initiatives
  • Other related duties as assigned

Abilities/Skills/Knowledge

  • Pays attention to detail
  • Strong logistical thinking and planning
  • Excellent communications skills, both written and verbal
  • Good telephone manner and skill

Education/Training

  • High School diploma or equivalent required

Experience

  • 1 year or more working in an office environment
  • Specialize in Word and Excel
